Email and Online Communication
Email is used for official correspondence, submitting applications, sharing documents and receiving information. Online communication also includes instant messaging, Internet calls, video conferencing and discussion forums.
Scope: This material covers the Computer Awareness level of general recruitment examinations. Interfaces, file limits and special features can differ between email services.
1. Meaning and Features of Email
Email means Electronic Mail. It is a system for sending and receiving electronic messages over a network.
- A message can be sent to one or several recipients.
- Files such as documents and pictures can accompany a message.
- The recipient need not be online at the time of sending.
- Sent and received messages can be retained as records.
Asynchronous communication: Communication that does not require everyone to participate at the same time. Email is a common example.
Synchronous communication: Communication occurring at the same time, such as a live video meeting.
2. Structure of an Email Address
A typical email address follows this pattern:
local-part@domain
Example: asha.verma@example.com
- asha.verma: The local part identifying the mailbox.
- @: Separates the local part from the domain.
- example.com: The domain.
A display name differs from the actual email address. Seeing “Recruitment Office” does not prove that the message originated from the recruitment office.
Precise understanding: Domain names are case-insensitive. Treatment of the local part can depend on the service. Do not assume that every part of every email address is universally case-insensitive.
3. Main Parts of an Email

Important distinction: A typed name in an ordinary email signature is not a cryptographic digital signature.
4. Practical Use of To, Cc and Bcc
- To: The main recipients, often those expected to act.
- Cc: People receiving an informational copy; their addresses are generally visible to recipients.
- Bcc: Helps avoid exposing recipients' addresses in the ordinary recipient list.
Example: An employee may place the responsible officer in To and a section head in Cc. Bcc can help protect address privacy when sending a common notice to unrelated candidates.
Bcc limitation: It does not encrypt the message or hide the recipient from the sender. A Bcc recipient who uses Reply All may reveal their involvement.
5. Reply, Reply All and Forward

Example: Use Reply for a personal clarification to an officer. Reply All can be appropriate when the whole included team needs the response.
Remember: Reply All normally does not automatically include hidden Bcc recipients. Check earlier messages, contact details and attachments before forwarding.
6. Inbox, Drafts, Outbox and Other Folders

Draft versus Outbox: A draft may still be under preparation. An Outbox message has been submitted for sending but remains pending.
Archive: Generally removes a message from the Inbox while retaining it. For example, archived Gmail messages remain accessible through All Mail or search. Archive does not mean Delete.
7. Webmail, Email Clients and Mail Servers
- Webmail: Using email through a browser.
- Email Client: An application for managing email, such as Microsoft Outlook Desktop or Mozilla Thunderbird.
- Mail Server: Server functions that accept, transfer and provide access to mail.
The same email account can be accessed through webmail and a suitable email client when the service and organisational settings allow it.
Avoid confusion: Microsoft Outlook Desktop is an email client, while Outlook.com is an email service. Interpret “Outlook” according to context.
8. SMTP, POP3 and IMAP

POP3: Primarily focuses on retrieving messages. Depending on client settings, a server copy may be retained or deleted.
IMAP: Useful for keeping server mailboxes, folders and read/unread status coordinated across devices. Clients can also maintain local copies for offline use.
Exam trap: POP3 does not always delete messages immediately after download. IMAP also does not mean that no data is ever downloaded locally.
9. How Email Typically Reaches a Recipient
- The sender composes a message and selects Send.
- The email service accepts it for sending.
- The sending mail server identifies an appropriate mail server for the recipient's domain, assisted by DNS MX records.
- SMTP transfers the message to the recipient's mail system.
- The recipient reads it through webmail or an email client.
MX means Mail Exchange. The actual route may involve multiple servers and spam or security checks.
Webmail generally uses HTTPS between the browser and the service. This does not remove SMTP's role between mail servers.
10. Attachments and MIME
An attachment is a file sent with an email, such as a PDF, photograph or document. A paperclip icon commonly represents the attachment action.
MIME stands for Multipurpose Internet Mail Extensions. It provides conventions for representing different content types, non-ASCII text and multipart message content.
- File-size limits depend on the service and account settings.
- A cloud link can be used for a large file.
- Check the recipient's access permissions when sharing a cloud link.
- Confirm that uploading is complete and the correct file is attached.
Distinction: An attached copy and a cloud link are different. A linked file can change later or become inaccessible. MIME encoding is not itself encryption.
11. Sent, Delivered, Read and Bounce
- Sent: Indicates completion of the sending process, not proof that the recipient read the message.
- Delivered: Indicates delivery according to the relevant delivery system.
- Read Receipt: A reading indication dependent on service and recipient settings; it is not always available or conclusive.
- Bounce/Non-Delivery Report: A notification of a delivery problem.
An incorrect mailbox address, full mailbox, message-size limit or server policy can cause delivery failure.
Undo Send: Services such as Gmail provide a limited cancellation period. This is not a universal ability to retrieve any message from a recipient's mailbox at any later time.
Important: A Sent copy, completed attachment upload or read receipt does not automatically prove that an application was accepted. Confirmation from the relevant organisation may be required.

13. Video Meetings and Online Collaboration
- Mute: Disables your microphone; silencing speaker output is a different action.
- Screen Sharing: Shows your screen or a selected window to others.
- Remote Control: Authorises another person to control a system; it differs from screen sharing.
- Chat: Text messages during a meeting.
- Calendar Invitation: Provides details such as time, meeting link and attendance responses.
Before an online interview, check the microphone, camera, Internet connection and time zone. Close private documents and notifications before screen sharing. Follow organisational rules and obtain appropriate participant permission before recording.
14. Email Etiquette and Safety
- Use a clear subject and professional language.
- Check the full recipient address, not just the display name.
- Use Reply All only when necessary.
- Verify attachment names and contents before sending.
- Do not open unsolicited links or suspicious attachments.
- Do not disclose passwords or OTPs in email replies.
- Use a strong, unique password and available multi-factor authentication.
Spam: Unwanted messages. Phishing: Deceptive attempts to obtain sensitive information or induce an action. Spoofing: Misrepresenting a sender's identity or address.
Caution: Not all spam is phishing, and not all phishing reaches the Spam folder. A message from a familiar name may originate from a compromised account.

परीक्षा में भ्रम: POP3 हमेशा डाउनलोड के तुरंत बाद ईमेल मिटाता है—यह कथन गलत है। IMAP का अर्थ यह भी नहीं कि कोई स्थानीय डेटा कभी डाउनलोड नहीं होता।
9. ईमेल पहुँचने की सामान्य प्रक्रिया
- प्रेषक संदेश तैयार करके Send करता है।
- ईमेल सेवा संदेश को भेजने के लिए स्वीकार करती है।
- भेजने वाला Mail Server प्राप्तकर्ता के Domain का उपयुक्त Mail Server खोजता है; DNS के MX Records इसमें सहायता करते हैं।
- SMTP के माध्यम से संदेश प्राप्तकर्ता के Mail System तक स्थानांतरित होता है।
- प्राप्तकर्ता Webmail या Email Client से संदेश पढ़ता है।
MX का अर्थ Mail Exchange है। वास्तविक मार्ग में अनेक Servers और Spam/Security जाँच शामिल हो सकती हैं।
Webmail में Browser और सेवा के बीच सामान्यतः HTTPS का उपयोग होता है। इससे Mail Servers के बीच SMTP की भूमिका समाप्त नहीं होती।
10. Attachments और MIME
Attachment ईमेल के साथ भेजी गई फाइल है, जैसे PDF, फोटो या दस्तावेज। इसे जोड़ने के लिए सामान्यतः Paperclip चिह्न उपयोग होता है।
MIME का पूरा नाम Multipurpose Internet Mail Extensions है। यह संदेश में विभिन्न Content Types, Non-ASCII टेक्स्ट और Multipart सामग्री दर्शाने की व्यवस्था देता है।
- File Size सीमा सेवा और खाते की सेटिंग पर निर्भर करती है।
- बड़ी फाइल के लिए Cloud Link उपयोग हो सकता है।
- Cloud Link भेजते समय प्राप्तकर्ता की Access Permission जाँचें।
- Attachment Upload पूरा होने और सही फाइल जुड़ने की पुष्टि करें।
अंतर: फाइल की Attachment Copy और Cloud Link समान नहीं हैं। Link से खुलने वाली फाइल बाद में बदल सकती है या उसकी पहुँच हटाई जा सकती है। MIME Encoding अपने-आप Encryption नहीं है।
11. Sent, Delivered, Read और Bounce
- Sent: भेजने की प्रक्रिया पूरी होने का संकेत; प्राप्तकर्ता के पढ़ने का प्रमाण नहीं।
- Delivered: संबंधित Delivery प्रणाली के अनुसार संदेश पहुँचने का संकेत।
- Read Receipt: सेवा और प्राप्तकर्ता की सेटिंग पर निर्भर पढ़े जाने का संकेत; हमेशा उपलब्ध या निर्णायक नहीं।
- Bounce/Non-Delivery Report: संदेश पहुँचाने में समस्या की सूचना।
गलत Mailbox Address, भरा हुआ Mailbox, संदेश आकार सीमा या Server Policy के कारण Delivery विफल हो सकती है।
Undo Send: Gmail जैसी सेवाओं में सीमित समय तक भेजना रद्द करने की सुविधा है। इसे किसी भी समय प्राप्तकर्ता के Mailbox से संदेश वापस खींचने की सार्वभौमिक सुविधा न समझें।
महत्वपूर्ण: Sent Folder में संदेश दिखना, Attachment Upload होना या Read Receipt मिलना—इनमें से किसी को आवेदन स्वीकार होने का स्वतः प्रमाण न मानें। संबंधित संस्था की Confirmation आवश्यक हो सकती है।

13. वीडियो मीटिंग और ऑनलाइन सहयोग
- Mute: अपना Microphone बंद करना; Speaker की आवाज बंद करना अलग कार्य है।
- Screen Sharing: स्क्रीन या चुनी गई Window दूसरों को दिखाना।
- Remote Control: दूसरे व्यक्ति को सिस्टम नियंत्रित करने की अनुमति; यह Screen Sharing से अलग है।
- Chat: मीटिंग के दौरान टेक्स्ट संदेश।
- Calendar Invitation: समय, लिंक और भागीदारी प्रतिक्रिया जैसी जानकारी।
ऑनलाइन Interview से पहले Microphone, Camera, इंटरनेट और Time Zone जाँचें। Screen Sharing से पहले निजी दस्तावेज और Notifications बंद करें। रिकॉर्डिंग से पहले संगठन के नियम तथा प्रतिभागियों की अनुमति का ध्यान रखें।

- प्राप्तकर्ता का पूरा Address जाँचें; केवल Display Name पर भरोसा न करें।
- Reply All का उपयोग केवल आवश्यक होने पर करें।
- Attachment का नाम और सामग्री भेजने से पहले जाँचें।
- अनचाहे लिंक या संदिग्ध Attachment न खोलें।
- Password या OTP ईमेल के उत्तर में साझा न करें।
- अलग मजबूत Password और उपलब्ध Multi-Factor Authentication उपयोग करें।
Spam: अनचाहे संदेश। Phishing: धोखे से संवेदनशील जानकारी या कार्रवाई प्राप्त करने का प्रयास। Spoofing: प्रेषक की पहचान या Address को भ्रामक रूप में प्रस्तुत करना।
सावधानी: सभी Spam संदेश Phishing नहीं होते और सभी Phishing संदेश Spam Folder में नहीं पहुँचते। परिचित नाम से आया संदेश भी समझौता किए गए Account से हो सकता है।
